Why it stands out

What makes Notion different

  1. 01

Databases and docs are one system: relational databases with table, board, calendar and gallery views sit inside the same pages as briefs and wikis, where ClickUp and Asana are task-first.

  2. 02

Agents work across the workspace on a schedule or trigger (Custom Agents), not only when someone types a prompt.

  3. 03

Official hosted MCP server at mcp.notion.com/mcp connects the workspace to Claude and ChatGPT through OAuth, so an assistant can search, read and write pages.

  4. 04

Developer surface for building on top: public API with versioned releases (2026-03-11 includes breaking changes), OAuth and internal integrations, Workers for custom code, and an Agent SDK in beta.

  5. 05

Free plan gives individuals unlimited pages, with a block cap once a workspace has 2 or more members.

The Feature

About Notion

Notion is the planning and documentation layer of a production, not a media tool. Teams use it for shot lists and call sheets built as databases, scene trackers with board views, style guides, client briefs, vendor contacts and production wikis. Its block editor and database views (table, board, calendar, gallery) let one page hold a schedule, a checklist and a brief at the same time.

What changed in 2026 is the AI layer. Notion Agent answers questions and drafts content from across the workspace and can now manage calendars and find shared availability. Custom Agents are team-wide bots that run on a schedule or on events such as a finished AI Meeting Note. From September 2026 teams can save reusable agent instructions as shared skills, Custom Agents can spawn sub-agents, and an Agent SDK is in public beta. Workspace owners choose which models agents may use. Custom Agents draw on Notion credits after a free trial, so run costs depend on model choice and how many hand-offs an agent makes.

It fits a film workflow best for pre-production and production admin: keeping a crew, a schedule and a shot list in sync, and letting an agent draft the daily status or meeting recap. It does not review cuts, manage frame-accurate feedback or store large media well. Those jobs still belong in an editor, a review tool or a DAM.

  3. Agents propose edits you approve one at a time

An agent can suggest changes to a page that you accept or reject individually instead of editing directly.

  4. Model picker with speed, intelligence and cost scorecards

The model selector shows a shortlist with scorecards, lets users pin favourites and adjust reasoning effort.

  5. Custom Agents can run after AI Meeting Notes

A finished AI Meeting Note can trigger a Custom Agent for status updates or recaps.

The Verdict

When to reach for it — and when to skip

Reach for it when…

  • Databases and documents in one tool, with several views over the same data
  • Agents can act across the whole workspace, on a schedule as well as on request
  • Official hosted MCP server makes it usable from Claude and ChatGPT without a custom integration
  • Generous free plan for individuals and a large template library

Skip it when…

  • Setup takes real effort; a team needs someone who owns the workspace structure
  • Agent use draws on credits, so heavy automation adds a cost line on top of seats
  • Free plan caps blocks once a workspace has more than one member
  • No review, frame-accurate feedback or media management; it is not a DAM or editor

Best For

✓ Ideal for

  • Shot lists, scene trackers and call sheets built as databases and shared with the crew
  • Production wikis for a studio or agency: style guides, client briefs and vendor contacts
  • Turning AI Meeting Notes into action items and status updates with a scheduled Custom Agent
  • Pre-production admin for a small team that already works from docs

✗ Not built for

  • Frame-accurate cut review or client approval of video (use a review tool)
  • Storing and transcoding large raw media or proxies
Field Notes

Working Tips from Filmmakers Using Notion

  1. 01 Put scene, shot and status in separate database properties, then build a board view per shoot day; this beats a long shot list in a doc
  2. 02 Give a Custom Agent read access to only the databases it needs and set a lighter default model; lighter models cut credit use per run
  3. 03 Export key databases to CSV on a schedule so a copy survives any product change
