Asana

Shared timelines, approvals and tasks for production teams, now with AI agents

popular

Asana is a work management platform for tracking projects, deadlines, approvals and workload across a team. In 2026 it rebuilt its product around Agentic Work Management, adding AI Teammates, the Dash assistant, the AI Studio no-code builder and an official MCP server. For film teams it works as a production tracker, not a creative tool.

Why it stands out

What makes Asana different

  1. 01

Official remote MCP server (v2, OAuth) so Claude, ChatGPT and Gemini can read and update tasks in the Work Graph directly

  2. 02

Prebuilt AI Teammates (30+ listed for marketing, operations and IT) that work inside existing tasks rather than in a separate chat box

  3. 03

Timeline, workload and portfolio views for leadership reporting, which Trello-style boards and most creative tools do not offer

  4. 04

Forms, approvals and proofing built in, useful for client review rounds and deliverable sign-off

  5. 05

Unlimited free guests on paid plans, so clients and freelancers can join without a seat cost

The Feature

About Asana

Asana runs the coordination side of a production: shot lists turned into tasks, review and approval steps, call sheets and deliverable deadlines, shown as timeline, board, calendar or workload views. Its Free Personal plan covers two users, and paid plans add timelines, portfolios, forms, approvals and admin controls.

The main 2026 change is the shift to Agentic Work Management, launched June 4, 2026. AI Teammates are prebuilt agents for marketing, operations and IT work. Dash is an assistant that pulls priorities out of meetings, Slack and email and routes work to the right Teammate. AI Studio is a no-code builder for repeatable steps such as intake, routing and alerts. In May 2026 Asana bought StackAI, a no-code agent builder that connects to outside systems such as Salesforce and DocuSign.

Asana fits producers, line producers and agency account teams who need one place to track who owns what across a shoot, an edit and a client review. It does not generate, edit or review video. Editors and VFX artists will keep their own tools and use Asana for status, approvals and handoffs.

The Verdict

When to reach for it — and when to skip

Reach for it when…

  • Free Personal plan with unlimited tasks for up to two people
  • Timeline and workload views show where a shoot or edit is overloaded
  • Approvals and proofing cover client review rounds without a separate tool
  • Official MCP server lets an AI assistant read and update tasks
  • Mature admin, SSO and security controls for agencies

Skip it when…

  • Does nothing creative: no media preview, no asset review and no generation
  • AI usage is metered per request on top of plan price, and the allowance mapping is hard to read
  • Agentic Work Management is recent, and Asana's stock fell sharply in 2026, so the product direction is still settling
  • Per-user pricing adds up quickly for crews that include many occasional freelancers beyond guests
  • Setup and automation take real admin time before a small team gets value

Best For

✓ Ideal for

  • Line producers tracking a shoot schedule, call sheet tasks and deliverable deadlines
  • Post houses running edit, VFX and color handoffs with approval steps
  • Agencies managing client review rounds and sign-off on AI-generated spots
  • Small production companies on the free Personal plan with two people

✗ Not built for

  • Anyone who needs to review cuts, comment on frames or manage media (use Frame.io, Iconik or a DAM)
  • Teams wanting an AI video generator or editor
Field Notes

Working Tips from Filmmakers Using Asana

  1. 01 Start on the free Personal plan with a two-person crew and upgrade to Starter only when you need timelines or forms
  2. 02 Keep media in your DAM or Frame.io and link to it from Asana tasks rather than uploading files, since files are capped at 100MB each on every plan
  3. 03 Use guest accounts for clients and freelancers because guests are free on paid plans
  4. 04 Check your AI request usage on the admin dashboard before turning on AI Teammates for a whole team
